Privacy Policy

Plain version: we collect what we need to answer your calls and run your account, we tell callers their call is being recorded, we don't sell your data, and you can ask to see or delete it.

Who we are

Call Vault is an AI phone-receptionist service operated by Call Vault Inc., based in Ontario, Canada. This policy explains what personal information we handle and why, in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

  • Information you give us — your name, business name, email, phone number, and account and billing details when you sign up or contact us. If you opt in to SMS/text messages, we use your phone number only to send the messages you requested (interview links, account and service updates); we do not share or sell this information, and you can reply STOP at any time to opt out.
  • Call information — when our service answers calls on your behalf, we process call audio, recordings, transcripts, and details such as caller number, time, and what the caller needed.
  • Website information — basic, privacy-respecting usage data when you visit this site.

Cookies & tracking

This site uses a small number of cookies and similar technologies (such as a pixel) to keep the site working, remember basic preferences, and understand which pages and ads are working — for example, when you click through from an ad or fill out a form. We don't use this to build a profile for resale, and you can clear cookies or use your browser's tracking controls at any time; some site features may not work as well if you do.

Why we use it

To set up and run your receptionist, answer and route calls, book appointments and capture leads, bill your account, provide support, improve call-handling quality, and meet legal obligations.

Service providers

We use trusted third parties to deliver the service — including telephony, voice-AI, CRM/scheduling, and payment providers. They receive only the information needed to perform their function and are required to protect it. Some of these providers process data outside Canada, including in the United States; where that happens, the information may be subject to the laws of those jurisdictions.

Call recordings

Calls handled by Call Vault may be recorded and transcribed. Callers are informed during the call. See our Call Recording Notice for details.

How long we keep it

We keep personal information only as long as needed for the purposes above and to meet legal and accounting requirements, then delete or de-identify it. Call recordings are retained for a limited period unless a longer period is required.

Your choices and rights

You may ask to access or correct your personal information, or withdraw consent, subject to legal and contractual limits. To make a request, contact us at hello@callvault.ca. You may also contact the Office of the Privacy Commissioner of Canada if you have a concern.

Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No method of transmission or storage is perfectly secure, but we work to protect your data and limit access to those who need it.

Changes

We may update this policy from time to time. The effective date above shows when it last changed.
